Printing and Reprinting a Batch of Tickets

Through Utilities, you can print large volumes of tickets, reprint tickets using the original delivery method used on the individual orders or reprint tickets using an alternate delivery method (if there was an issue with mailing customers their tickets, the tickets can be reprinted to be held at the box office for customers to pick up the day of the event).

 

Client printing works well for small- and medium-sized print jobs. You may experience issues printing larger jobs because of the larger file sizes. If you are experiencing issues we suggest breaking your print job into batches of 1,000 orders.

 

Before you start reprinting tickets, make sure you set a default cancel reason. You can also set a default for specific groups using the Groups|Attributes page.

To print/reprint tickets in a batch:

1.Open Utilities from the Desktop.

2.Select the Print tab.
The Print|Query Select page appears.

Your organization may have created additional queries using Business Intelligence and Reports.

3.Select General Print from the Batch Print section.
The Print|Order Print page appears.

4.Search for the orders that you want to print/reprint.
Your search results appear in the Search Results section. If multiple pages of search results are displayed, you can use the '<' and '>' buttons to open the additional pages.

5.To print/reprint specific orders select the check box next to each order.
Click 'Select All' to select all of the orders on the current page. This will not select orders on other pages. If you want to update all of the orders in the search results, you can choose to do so at the end of this procedure.

If you search for orders containing Event A, all orders containing the event will be returned in the Search Results section, including orders that contain multiple events. If you print/reprint these orders, all of the tickets for all of the events on the order will be printed/reprinted. You can further refine your search query, or select the 'Print Queried Event(s)' check box in the Print Criteria section to only print/reprint tickets for Event A.

These selections are defined by the entries made in your search criteria fields:

Print Queried Bundle(s)

Print Queried Hold Zones(s)

Print Queried Event(s)

Print Queried Price Type(s)

Print Queried Price Zone(s)

Print Queried Row(s)

Print Queried Section(s)

6.Select the check box for each warning message that you want to suppress from the Suppress Warning Messages section:

oPrint Fully Printed Orders: Enables you to print/reprint orders that have been fully printed.

oPrint Orders with Requests: Enables you to print/reprint orders with requests attached.

oPrint Overpaid Orders: Enables you to print/reprint orders that are overpaid (have a credit balance).

oPrint Underpaid Orders: Enables you to print/reprint orders that have a balance owing.

7.Select an option from the 'Process Range' dropdown:

oAll: The marketing data fields will be updated on all of the customers returned by the search.

oSelected: The marketing data fields will be updated on the selected customers only.

8.Select an option from the 'Process Type' dropdown:

oDefault Print: The orders will be printed using the original delivery method on the order.

oPre-Print: Printable items on the orders will have their status set to Printed without actually printing ticket(s), and ticket numbers will be assigned.

When preprinting, payment receipts and header cards are not printed.

oAny other delivery method: The orders will be reprinted using the selected delivery method regardless of the original delivery method on the order (if there was an issue with mailing customers their tickets, the tickets can be reprinted to be held at the box office for customers to pick up the day of the event).

9.Click 'Execute'.

The Batch Results section appears at the bottom of the page indicating the progress of the batch and the success or failure of the processing for each order.

When completed, a Batch Number appear at the top and Batch Run Completed! appears at the bottom of the batch results section.

The batch number can be used in some searches (audits in Application Security or to cancel tickets). If you need to find the batch number later, you can search for it on the Print|Print Cancel page, which displays the batch number in its search results.

When batch printing to a Client printer, you should wait until all items are marked with a Success before clicking the 'Next' button.
