Updating the Details of a Batch of Orders

You can update the details on an order, such as the order type, delivery method and donation details, if you have the permission to do so.

To update order details:

1.Open Utilities from the Desktop.

2.Select the Orders tab.
The Orders|Query Select page appears.

3.Select the General Order Update query.
The Orders|Order Update page appears.

4.Search for and select the orders that you want to update.
Your search results appear in the select orders section. If multiple pages of search results are displayed, you can use the '<' and '>' buttons to open the additional pages.

5.To update marketing data for specific orders, select the check box next to each order that you want to update.
Click 'Select All' to select all of the orders on the current page. This will not select orders on other pages. If you want to update all of the orders in the search results, you can choose to do so at the end of this procedure.

6.Update the applicable fields in the Select Orders section:

Order Type: Select an order type

oRenewal: Allows the order to be renewed using the same seat and delivery method. It also allows customers to create payment plans online.

oStandard: Set the order(s) to a standard order type.

Selected Delivery Method: Select the delivery method to be used for all orders being updated

Unpaid Reason: If there is a 'Balance Due', select a reason why the order is unpaid.

Balance Due Date: Click calendarIcon-7.X to select the date when the remaining total is due.

Deposit Due Date: Click calendarIcon-7.X to select the date when the deposit is due.

Deposit Amount: Enter the amount expected for the deposit.

Comments/Announcements: Add any additional comments that may be necessary.

7.Update the applicable fields in the Update Donation section:

Update with Appeal: Click magnifyingGlass-7.X to search for the new appeal that the donation will be applied to.

Pledge Date: Click calendarIcon-7.X to select a date or durationIcon-7.X to select a duration.

Type: Select a donation type:

oLapsed

oNew

oRenewal

Pledge Amount: Enter the pledge amount.
If you want to increase all of the pledge amounts by the same percentage, select the % increase check box. Do not include the % symbol in the field.

Solicitor: Enter the name of the employee who solicited the donations.

Default Receipt Template: Select the template to be used for receipts.

Default Receipt Thank You Letter: Select the template to be used for thank you letters.

Renewal Date: Define a new renewal date.
Click calendarIcon-7.X to select a date or durationIcon-7.X to select a duration.

Renewal Amount: Enter the renewal amount.
If you want to increase all of the renewal amounts by the same percentage, select the % increase check box. Do not include the % symbol in the field.

Additional Information: Add any additional comments that may be necessary.

8.Select an option from the 'Process Range' dropdown:

All: The applicable fields will be updated on all of the orders returned by the search.

Selected: The applicable fields will be updated on the selected orders only.

9.Select Update from the 'Process Type' dropdown.

10.Select the check box for each warning message that you want to suppress:

Balance Due: Enables you to update orders with a balance due.

Overpaid: Enables you to update orders that are overpaid.

Unfulfilled Bundles: Enables you to update orders containing unfulfilled bundles.

11.Click 'Execute'.

The batch results section appears indicating the progress of the batch. When completed, Batch Run Completed! appears.
