The Event Configuration - Events|Batch Update|Calendars page allows you to update the calendar information for a group of events, regardless of venue, at once. This feature will be expanded in coming releases so that other areas of events can be update as well.
To update the calendar information for a batch of events:
1.Open Event Configuration from the Desktop.
2.Select the Events tab.
The Events|Search page appears.
3.Search for the events that you want to work with.
4.Select the check boxes next to all of the events that you want to update.
5.The events must appear on the same page of search results. If they do not, refine your search so that they do.
6.Click 'Batch Update'.
The Events|Batch Update|Basic page appears.
7.Select the Calendar tab.
The Events|Batch Update|Calendar page appears.
8.To remove calendar rows from the selected events:
a.Click 'Add Entry'.
b.Select the roles that you want to remove from the calendar from the 'User Roles' field.
c.Select the promotion, corresponding with the selected role(s), that you want to remove from the calendar.
Click to search for a promotion.
Information When the update is executed, the 'User Role' and 'Promotion' combination(s) are removed from the events. If a 'User Role' is specified, but not a 'Promotion' only calendar entries for that role without a promotion will be removed. For example, if an event has: •Calendar Row One: Box Office role without a promotion. •Calendar Row Two: Box Office role with the Discount promotion. Only Calendar Row One will be removed. |
9.To add or update calendar rows on the selected events:
a.Click 'Add Entry'.
b.If you want to completely overwrite the calendar entries for the selected event(s), select the 'Override Existing Calendar Values' check box.
Information If the 'Override Existing Calendar Values' check box is selected, all of the calendar values for the selected 'User Role'/'Promotion' combination will be updated based on the supplied values. For example, if an event has a calendar row with 'On Calendar' and on 'On Sale' dates configured against the Box Office role, and a new 'On Sale' date is selected but nothing is entered in the 'On Calendar' field, the new 'On Sale' value will be set and the 'On Calendar' field will be made blank. |
c.Select one or more role(s) from the 'User Role' field which you want to enable access to the event.
d.Enter the date from which the event will appear on the calendar in the 'On Calendar' field or click to select a date.
Use the buttons in the column header to set to the date for all calendar entries.
e.Optionally enter a date when the event goes off the calendar in the 'Off Calendar' field or click to select a date.
f.Enter the date from which the role can sell the event in the 'On Sale' field or click to select a date.
g.Optionally enter a date when the event goes off sale to the role in the 'Off Sale' field.
h.If you want to grant access to the event using a promotion, click to search for a promotion.
▪If the promotion does not have an access code, only those customers holding a benefit that has the associated promotion will be able to access the event.
▪If the promotion has an access codes, customers must enter the 'Promotion Access Code' online to access the event.

i.Enter the length of time seats can be on offer before they become available to other users in the 'On Offer Reservation' field.
Click to select a duration.
j.Enter the duration of time that any reservations or offers made on the event will be valid in the 'Offer Time Out' field.
Click to select a duration or to select a date.
k.Enter the fixed date that any reservations or offers made on the event will expire for the particular selected roles in the 'Offer Valid Until' field.
Click to select a duration or to select a date.
Information When the update is executed, the system searches for the specified 'User Role' and 'Promotion' combination(s) If the combination does not exist, a new calendar row will be created using the supplied values. If the combination does exist, and the 'Override Existing Calendar Values' box has not been selected, nothing is updated. If the combination exists, and the 'Override Existing Calendar Values' box has been selected, then the existing row is updated with the supplied values. When an existing calendar row has multiple roles, the system will split the rows when necessary. For example, if an event has a calendar row with the Box Office and Internet roles and an 'On-Sale' of 2024-05-01, and you update the Box Office role go on sale on 2024-04-15, it will result in a new calendar row being created for the Box Office role while the Internet role will remain on the original row. |
10.Click 'Update Events'.
A window prompts you to confirm the number of events that will be updated.
11.Click 'OK'.
When the AVScheduler runs (every minute, by default) a Data Management job will be executed using the Update Multiple Events script and script definition, updating the group of events.
