•Exchanges - Balancing Charges
You can create bundle exchange rules that will let customers exchange their admissions online without having to call the ticket office. (Customers can call and the same rules will be applied in the Deskop, too.)
Bundle admissions can be exchanged for other admissions within the same event or a different event or series depending on the rules you define on the Product Configuration - Bundles|Exchanges page.
Before you can offer exchanges, you must enable the following things.
1.Enable Desktop content.​
2.Enable reporting.
3.Create your bundle exchange rules.
4.Enable balancing charges.
5.Create your balancing charges.
6.Add the balancing charge to your price charts used in your exchange rules.
7.Update the articles available for the Events and Tickets page.
8.Ensure that all of your Exchange To events have an 'Off-Calendar' date set in the future.
9.Enable online permissions.
10.Suppress warning message 4216: Including scheduled payments, this order is fully paid. Continue? for the Internet role (or the online role used for exchanges).
11.Enable online content.
To enable the Product Configuration - Bundles|Exchanges page:
1.Open Application Security from the Desktop.
2.Select the Groups tab.
The Group|Search page appears.
3.Search for and select the group that will be configuring bundle exchange rules.
The Groups|Basic page appears.
4.Select the Content tab.
The Group|Content page appears.
5.Select Product Configuration.
6.Hold CTRL and select Bundles Exchanges.
7.Click 'Apply'.
A window confirms that the group was updated.
8.Click 'OK'.
To include exchanges in the Ticket Sales and the Ticket Sales by Event reports:
1.Open General Configuration from the Desktop.
2.Select the Lists tab.
The Lists|Search page appears.
3.Search for and select the reports display detail/summary/exchanges list.
The Lists|Basic page appears.
4.Select the Entries tab.
The Lists|Entries page appears
5.Deselect the 'Disable' check box in the exchanges row.
6.Click 'Apply'.
A window confirms that the list was updated.
7.Click 'OK'.
The Detail (Report on Exchanges) option now appears in the 'Display Option' dropdown in the Ticket Sales and the Ticket Sales by Event reports.
The 'Display Option' will work as follows:
•Summary: Exchanges are considered 'Sales' and 'Returns' in the net total.
•Detail: Exchanges in are considered sales in the 'Sale' column, and exchanges out are considered returns in the 'Returns' column
•Detail (Report on Exchanges): The 'Sales' column shows the original sales, the 'Sales (Exchanges In)' column shows the exchanges in, the 'Returns' column shows returns that are not part of an exchange, the 'Returns (Exchanges Out)' column shows exchanges out.
The AV Transaction report also considers exchanges in as 'Sales' and exchanges out as 'Returns', but the output is unaffected.
Before you can create a balancing charge, you need to enable the 'Pricing Type' dropdown on the Product Configuration - Charges|Details page:
1.Open General Configuration from the Desktop.
2.Select the Lists tab.
The Lists|Search page appears.
3.Search for and select the service charge pricing type list.
The Lists|Basic page appears.
4.Select the Entries tab.
The Lists|Entries page appears
5.Deselect the 'Disable' check box in the Balance for Exchange row.
6.Click 'Apply'.
A window confirms that the application updated the list.
7.Click 'OK'.
8.Open Registry from the Desktop.
9.Navigate to the Registry::EN::Business Objects::TSserviceChargeBO::Charge::Pricing Type node.
10.Select Yes from the 'Reable' and 'Writeable' dropdowns.
11.Click 'Apply'.
A banner confirms that the Registry was updated.
Before customers can exchange their admissions online, you must assign the following permissions to the WebSales group:
1.Open Application Security from the Desktop.
2.Select the Groups tab.
The Group|Search page appears.
3.Search for and select the WebSales group.
The Groups|Basic page appears.
4.Select the Permissions tab.
The Group|Permissions page appears.
5.Select TScontentBO.
6.Hold CTRL and select:
▪bundleExchangeSearch
▪loadBundleExchangeArticle
7.Select TSorderBO.
8.Hold CTRL and select:
▪exchangeBundleAdmissions.
9.Select TSorderAdmissionSearchBO.
10.Hold CTRL and select:
▪search
▪addExchangeEligibilityToSearchResult
11.Select TSmapBO.
12.Hold CTRL and select:
▪​loadBundleExchangeMap
▪loadBundleExchangeBestAvailable
13.Click 'Apply'.
A window confirms that the group was updated.
14.Click 'OK'.
Once customers have the appropriate exchange permissions, they will need access to the exchange pages online.
1.Open Application Security from the Desktop.
2.Select the Groups tab.
The Group|Search page appears.
3.Search for and select the WebSales group.
The Groups|Basic page appears.
4.Select the Content tab.
The Group|Content page appears.
5.Select Online.
6.Hold CTRL and select:
▪Customer Events and Tickets - Exchanges: Allows access to the Events and Tickets - Exchanges page and the exchange functionality.
▪Exchanges To Event: Allows access to the exchangeEvents.asp page.
▪Exchanges Overview: Allows access to the exchangeOverview.asp page.
▪Exchanges Summary: Allows access to the exchangeSummary.asp page.
7.Click 'Apply'.
A window confirms that the group was updated.
8.Click 'OK'.
