You can schedule saved BI queries to run once on a specific date/time or on a daily, weekly or monthly basis.
Suppressing Warning Messages
Warning and information messages that are generated during the BI process can prevent the scheduled results from being emailed.
For example, when executing a BI query where more than one row will be displayed in the result output, warning Message #4276: The members you have selected (listed below) can return more than one row. To have only one row returned you will have to select a primary member. Continue? appears.
Because the message prompts the user to either accept or decline the action and no response can/will be given, the scheduled query will not execute. You can prevent the pop-ups by suppressing Warning Message #4276 for the role that is used to run the scheduled BI.
Scheduling a BI Query
To schedule the run of a saved BI query:
1.Open Business Intelligence and Reports from the Desktop.
2.Select the Business Intelligence tab.
The Business Intelligence|Search page appears.
3.Search for and select the business intelligence (BI) query that you want to work with.
The Business Intelligence|Results page appears.
4.Expand the Save Lists and Extracts section.
5.Expand the Schedule Saved BI section.
6.Select an output type from the 'Target' dropdown:
Email
Email the report/extract to multiple recipients in multiple formats at once.
a.Email Address: Enter the email address of the recipient.
b.Email Subject / Email Message: Enter a subject and message, respectively.

When emailing an HTML report links and images will not function.

c.Format: Select the appropriate format for the report/extract (AVDOC, CSV, HTML).

Save the report/extract to a specified server.
a.Before you can use this option, you need to set up a target destination.
b.Target Name: Select where you want to send the report/extract.
c.Target File Name: Enter the name that you want the report/extract to be saved as.
You can also add the following to the file name:
•%d: The date will be added to the file name in the YYYYMMDD format.
•%t: The time will be added to the file in the HHMMSS format.
d.Format: Select the appropriate format for the report/extract (AVDOC, CSV, HTML).
After you save the report/extract, the field will display instead, allowing you to verify the URL

Print the report/extract to a local or network printer.
a.Printer: Select a printer.
b.Format: Select the appropriate format for the report/extract (AVDOC, CSV, HTML).

Save the report/extract to an FTP site with secured/encrypted delivery (SFTP).
a.Before you can use this option, you need to set up a target destination.
b.Target Name: Select where you want to send the report/extract.
c.Target File Name: Enter the name that you want the report/extract to be saved as.

7.Select when you want the query to be run:
Execute Now
The 'Scheduled Time' and 'Start Date' fields appear.
a.Scheduled Time: Select the hour and minute that you want the query to be run.
b.Start Date: Click to select a date when you want the query to be run. |
The 'Scheduled Time', 'Start Date' and 'End Date' fields appear.
a.Scheduled Time: Select the hour and minute that you want the query to be run.
b.Start Date: Click to select a date when you want the query to start running.
c.End Date: Click to select a date when you want the query to stop running. |
The 'Scheduled Time', 'Start Date', 'End Date' and 'Day of Week' fields appear.
a.Scheduled Time: Select the hour and minute that you want the query to be run.
b.Start Date: Click to select a date when you want the query to start running.
c.End Date: Click to select a date when you want the query to stop running.
d.Day of Week: Select the specific day of the week that you want to run the query on. |
The 'Scheduled Time', 'Start Date', 'End Date' and 'Day of Month' fields appear.
a.Scheduled Time: Select the hour and minute that you want the query to be run.
b.Start Date: Click to select a date when you want the query to start running.
c.End Date: Click to select a date when you want the query to stop running.
d.Day of Month: Select the specific day(s) of the month that you want to run the query on.

Information
To execute the query on the last day of the month, select Last.

8.Click 'Update Changes'.
A window confirms that the query was updated.
9.Click 'OK'.
Report Formats
While selecting a report’s output, you can also choose the report’s format:
•AVDOC: Formats the report as a PDF (portable document format).
•CSV: Formats the report as comma separated values (CSV). This allows you to view the report in programs like Microsoft Excel.
•HTML: Formats the report as hypertext markup language (HTML), the standard markup language for creating website and applications.
•application/JSON: Formats the report as JavaScript. This allows you to more easily consume report data for dashboards, data warehouses or other sites or system functions.
