Creating a Miscellaneous Item

 


 

Before You Begin

Before creating a miscellaneous item, ensure you have:

Created a ticket template, if applicable, for the miscellaneous item. If this has not been created, you can assign it at any time.

Created a pass, if applicable, for the miscellaneous item.

Created memberships, if applicable. If these have not been created, you can assign them at any time.

Created roles.

Created promotions. If these have not been created, you can assign them at any time.

Created taxes (charges).

If you have not created any of the items in the list, you can always assign them to the miscellaneous item at a later time.

 

Creating a Miscellaneous Item

Once you have created a miscellaneous item, it is available to roles you specify from the Customer Services - Miscellaneous Items pages. You must have permission to create a miscellaneous item.

To create a miscellaneous item:

1.Open Product Configuration from the Desktop.

2.Select the Miscellaneous Items tab.
The Miscellaneous Items|Search page appears.

3.Click 'Create New'.
The Miscellaneous Items|Details page appears.

4.Complete the following fields:

a.Name: Enter a unique name for the miscellaneous item.
If a value is not entered in the 'Short Description' field, the 'Name' will be displayed to Online customers.

b.Short Description: Enter a short description for the miscellaneous item.
The 'Short Description' is displayed to Online customers. If a value is not entered in this field, the 'Name' will be displayed.

c.Description: Enter a description of the miscellaneous item.
This field is only displayed in the Desktop.

d.Type: Select the type of miscellaneous item:

Merchandise: Items to sell (T-shirts). Only miscellanoues items with a 'Type' of Merchandise will be available to the point of sale interface (POS).

Membership: Points programs, fan clubs and more.

Other: Any other discretionary charges.

Pass: All access passes, and other types of passes.

e.Category: Select a category for the miscellaneous item.
Miscellaneous item categories are used to categorize/group miscellaneous items to help filter customer searches. They can also be used to search in Business Intelligence and Reports. Miscellaneous items are also grouped by catergory when used with the point of sale interface (POS).

f.Sales Type: Select how you want to be able to filter the miscellaneous item in search results. The 'Sales Type' field is used as an additional filter for Online search results via the Content Management - Article|Criteria page. This field does not affect the way that miscellaneous items are sold.

Add-on: The miscellaneous item can be filtered as an additional item to the shopping cart (for add-on articles).

Primary: The miscellaneous item can be filtered normally.

Upsell: The miscellaneous item can be filtered as a recommended better option than the one currently selected in the shopping cart (for upsell articles).

g.Association: Select the relationship between the miscellaneous item and any customers who purchase the item, so that customers can more accurately be targeted for marketing purposes.

h.Start Date: calendarIcon-7.X to select the date.
The 'Start Date' field is used as an additional filter for Online search results via the Content Management - Article|Criteria page. This field does not affect the way that miscellaneous items are sold.

i.End Date: calendarIcon-7.X to select the date.
The 'End Date' field is used as an additional filter for Online search results via the Content Management - Article|Criteria page. This field does not affect the way that miscellaneous items are sold.

j.Ticket Template: If required, select the template to use when producing a ticket.

k.Assigned Pass: Select the pass that you want to associate with this miscellaneous item.

l.Additional Info: Enter the full URL to your webpage or click magnifyingGlass-7.X to search the upsell article that you want to display when a customer clicks on an additional info link.
Click linkIcon-7.X to verify that the correct article will be displayed.
You can enable site-wide social widgets (Facebook Like, Twitter Tweet and Google+ +1 buttons) to appear online. If the site-wide social widgets have been enabled, the widgets will appear for miscellaneous items that have an article/link configured in the 'Additional Info' field.

m.Search Image 1: Enter the absolute URL (including https://) to the image or click magnifyingGlass-7.X to select the image that you want to display when the miscellaneous item is returned in onine search results using the Search Results Widget - Detailed and Search Results Widget - Detailed, Grid Layout widgets. Acceptable image types include .JPG, .GIF and .PNG. For more information, refer to Search Image Guidelines.
Click linkIcon-7.X to ensure that the URL is linked to the correct image.

n.Search Image 2: Not currently in use.

o.Add-on Article: Click magnifyingGlass-7.X to search the Add-on article that you want to display to customers after the miscellaneous item has been added to the shopping cart.
A link will also appear in the shopping cart and the Customer Services - Order|Summary page.

p.Upsell Article: Click magnifyingGlass-7.X to search the upsell article that you want to display to online and Desktop users when they select the miscellaneous item.
A link to the upsell article will appear on the shopping cart page and the Customer Services - Order|Summary page.

q.Payment Methods: The payment method(s) that can be used to purchase the miscellaneous item.
If an order contains multiple items with different payment methods, only the payment methods that all of the items have in common will be available. For example, if an admission has three payment methods available (Cash, Visa and MasterCard) and a miscellaneous item has one payment method available (Visa), then only the common payment method(s) (Visa) will be available.

r.Payment Plans: The payment plan(s) that can be used to purchase this miscellaneous item.
If an order contains multiple items with different payment plans, only the payment plans that all of the items have in common will be available. For example, if a bundle has three payment plans available (Bi-Weekly, Monthly and Quarterly) and a miscellaneous item has one payment plan available (Bi-Weekly), then only the common payment plan(s) (Bi-Weekly) will be available.

s.Delivery Methods: When multiple events, price types and miscellaneous items with different allowable delivery methods are added to the shopping cart, only the common delivery methods will be available.

t.Contract: Select a contract, if applicable, to associate with the miscellaneous item to track the sales of the item

u.GL Code 1: Enter a general ledger code for accounting purposes .
This should match your chart of accounts..

v.GL Code 2: A general ledger code used to move amounts to a recognition account.

w.Receivable GL Code: Enter a receivable general ledger code for accounts receiveable/unpaid amounts.

x.GL Description[1-2]: Optionally, enter a description for accounting purposes (General Ledger, General Ledger Oracle 1 and General Ledger Oracle 2 reports).
This is not tied to any of the other GL fields..

5.Complete the following fields in the miscellaneous items data section:

a.Keywords: Enter any keywords that you want to use to make searching online easier.

b.Rank: Enter a number to determine the order that micellaneous items are displayed online. Miscellaneous items are ranked in descending order (4 will be ranked before 1).

6.If you want to use the stored data values against your miscellaneous items and use BI to retrieve information against them, enter the appropriate information in the data fields in the miscellaneous items data section:

7.Select the Options tab.
The Miscellaneous Items|Options page appears.

8.Add options to the miscellaneous item.

9.Select the Calendar tab.
The Miscellaneous Items|Calendar page appears.

10.Specifiy which roles have access to the miscellaneous item.

11.Select the Pricing tab.
The Miscellaneous Items|Pricing page appears.

12.Create a version.
Once you save the miscellaneous item, you cannot modify the pricing. To edit this information after saving, you must create a new version.

13.Add pricing and charges.

14.Select the Questions and Terms tab.
The Miscellaneous Items|Questions and Terms page appears.

15.Optionally, add questions and terms and conditions to the miscellaneous item.

16.Click 'Create'.
A window confirms that the effective date will be set to the current date and time.

17.Click 'OK'.
A window confirms that the miscellaneous item was created.

18.Click 'OK'.
